HanQiao ("HanQiao," "we," "our," or "us") values your trust and is committed to explaining in a clear and transparent way how we collect, use, share, store, and protect your personal information.

To provide products and services related to studying in China — including free AI assessments, school and program matching, application support, scholarship support, document management, advisor coordination, payments, and other education-planning features — we may process personal information about students, partners, and other users of our platform.

This Privacy Policy applies when you visit the HanQiao website, create an account, complete an assessment, submit application materials, purchase services, communicate with us, or otherwise use our products and services.

This policy explains, among other things:

  • what personal information we collect and where it comes from;
  • why and how we use that information;
  • when we may share that information;
  • how we store, protect, and retain it, and how you may exercise your rights.

1. Information We Collect

Information you provide directly

  • Account and identity information, such as your name, email address, phone number, country or region of residence, nationality, date of birth, login credentials, and profile details you choose to provide.
  • Assessment, profile, and application information, such as educational background, language ability, target degree, program preferences, budget, application plans, research interests, recommender details, and other information entered into assessments, profiles, or application workspaces.
  • Application and supporting materials, such as passports, transcripts, diplomas, personal statements, CVs, recommendation letters, portfolios, visa documents, and other files uploaded to the platform.
  • Transaction and service information, such as orders, payment status, billing details, invoices, purchased service scope, and information related to application, scholarship, visa, or arrival support services.
  • Communications and feedback, such as information you submit through email, WhatsApp, online forms, support channels, advisor conversations, event registrations, surveys, reviews, or complaints.
  • In limited cases, sensitive information that may appear in passports, visa documents, health records, or other materials required by schools, regulators, or immigration processes. We only handle such information when necessary and, where required by law, with your consent.

Information collected automatically

  • Usage data, such as pages visited, clicks, searches, saved items, submitted forms, upload history, time spent, and how you interact with platform features.
  • Device and technical data, such as IP address, device identifiers, browser type, operating system, language settings, access times, error logs, and basic network information.
  • Approximate location and cookie-related data used for language display, regional compliance, session continuity, performance analysis, user experience improvements, and campaign measurement.

Information from third parties

  • If you are introduced to HanQiao by a partner, referrer, agency, or school, we may receive basic information relevant to consultation, matching, or application support.
  • If you sign in through a third-party identity provider such as Google, we may receive basic account information such as your name, email address, and profile image.
  • We may also receive information required to deliver services from payment processors, verification providers, cloud infrastructure providers, analytics services, support tools, or messaging providers.

2. How We Use Your Information

  • to create, verify, and manage your account, student profile, partner profile, or related workspace;
  • to generate free AI assessments, school and program matching suggestions, scholarship recommendations, and other personalized outputs;
  • to process applications, prepare documents, track progress, coordinate advisor support, and, where you authorize us, work with schools or partners on your behalf;
  • to process orders, payments, billing, invoices, service activation, and after-sales support;
  • to communicate with you about service updates, application status, risk reminders, advisor suggestions, events, promotions, or support responses;
  • to protect the platform, users, and accounts through verification, anomaly detection, fraud prevention, logging, and security investigations;
  • to analyze platform usage and improve product experience, content structure, matching logic, advisor workflows, and overall service quality;
  • to comply with applicable laws, school rules, regulatory requirements, contractual obligations, and dispute-handling needs.

3. Our Basis for Processing

Where required by applicable law, we process personal information on one or more of the following grounds: to perform a contract with you; with your consent; for our legitimate interests in operating, securing, and improving the platform and services; and to comply with legal or regulatory obligations.

4. When We Share Your Information

We do not sell your personal information. We also do not share your mobile contact information with third parties for their independent marketing purposes without your informed consent.

  • with schools, programs, partner institutions, or service partners that you authorize or actively request us to work with in order to support consultation, application, review, or admission-related processes;
  • with third-party service providers acting on our behalf, such as identity verification, cloud hosting, databases, payment processing, analytics, customer support, messaging, or email providers, but only as needed for them to deliver their services;
  • with relevant partners when you join HanQiao through a referral, partner, or advisor relationship, or when you use partner-linked services;
  • when required by law, regulation, enforcement request, dispute handling, rights protection, security response, or fraud prevention;
  • in connection with a merger, financing, acquisition, restructuring, or similar corporate transaction, where permitted by law.

5. Cookies and Similar Technologies

We use cookies, local storage, pixels, and similar technologies to keep the site functioning, maintain sessions, remember your language and preferences, analyze usage, and improve content and conversion performance.

  • Necessary technologies used for login, security, forms, and core product functionality;
  • Analytics technologies used to understand visits, feature usage, performance issues, and product improvement opportunities;
  • Marketing or measurement technologies used to understand acquisition sources, campaign performance, and user journeys;
  • You can manage or disable cookies through your browser settings, but some features may no longer function properly if you do so.

6. Storage, Cross-Border Transfers, and Retention

Because HanQiao serves international students worldwide, your personal information may be transferred to and processed outside the People's Republic of China for the purposes of platform operations, account management, application processing, payment settlement, and AI-powered features. In accordance with Articles 38–39 of the Personal Information Protection Law of the People's Republic of China (PIPL), we hereby disclose the following information regarding cross-border data transfers.

The data protection laws of the countries or regions where these overseas recipients are located may differ from those of China or your home jurisdiction. We have taken reasonable measures to ensure adequate protection of your personal information during cross-border transfers, including entering into data processing agreements with relevant service providers, assessing their data security capabilities, and completing personal information protection impact assessments as required by applicable law.

Under Article 39 of the PIPL, cross-border transfer of personal information requires your separate consent. Your acknowledgment of the cross-border transfer provisions in this Privacy Policy when registering for a HanQiao account constitutes such separate consent. You may withdraw this consent at any time by contacting privacy@hanqiao.top, but withdrawal does not affect the lawfulness of processing carried out before the withdrawal and may result in your inability to continue using platform services that rely on overseas infrastructure.

We retain personal information for as long as necessary to provide services and, where applicable, for additional periods required for legal, tax, audit, dispute, fraud-prevention, security, or contractual purposes.

  • We typically retain relevant information while your account is active, services are ongoing, or an application lifecycle remains open;
  • After services end, we may keep certain information for a reasonable period to support after-sales issues, refunds, tax obligations, audits, disputes, or legal compliance;
  • When information is no longer needed, we may delete it, de-identify it, anonymize it, or retain it only in aggregated form where permitted by law.

Overseas Data Recipients and Purposes

  • Supabase, Inc. (United States) — Provides database hosting and backend services for storing your account information, application data, documents, and service records.
  • Vercel, Inc. (United States) — Provides website hosting and content delivery services for global platform access and performance optimization.
  • Stripe, Inc. (United States) — Provides payment processing services for handling your order payments, billing, and transaction records. Stripe processes payment data as an independent data controller; see stripe.com/privacy for its privacy policy.
  • Google LLC (United States) — Provides identity authentication (Google Sign-In) and analytics services (Google Analytics) for account login and anonymized platform usage analysis.
  • OpenAI, Inc. or other AI service providers (United States) — Provides AI capabilities for assessment generation, school matching recommendations, and document review assistance. Data transmitted to AI services is de-identified and does not include passport numbers or full contact details that directly identify you.
  • Resend, Inc. (United States) — Provides email delivery services for account verification, service notifications, and application status update emails.

7. Data Security

We use reasonable and appropriate technical, administrative, and organizational safeguards to protect personal information, including access controls, role-based permissions, encrypted transmission, security logging, backups, and vendor review processes.

No internet transmission or electronic storage method can be guaranteed to be completely secure. If you believe your account or data may have been compromised, please contact us promptly.

8. Your Rights

Please note that in some circumstances we may be unable to fully satisfy a request because of legal obligations, contractual requirements, security needs, fraud prevention, or dispute-handling requirements. Where permitted, we will explain the basis for that limitation.

  • to access, understand, and request a copy of the personal information we hold about you;
  • to correct, update, or complete inaccurate information;
  • to request deletion of your personal information where permitted by law;
  • to object to or restrict certain processing activities, or withdraw consent previously provided;
  • to request data portability where this right applies under law;
  • to manage marketing preferences, including unsubscribing from promotional emails;
  • to lodge a complaint with a competent privacy or data protection regulator.

9. Automated Processing and AI Features

HanQiao may use automated tools, rules-based logic, or artificial intelligence features to help generate assessment outputs, recommend schools and programs, identify document issues, organize application information, or improve support efficiency.

These features are intended to support service delivery and decision assistance. They do not by themselves determine school admission, scholarship approval, visa approval, or other third-party outcomes. Depending on the context, we may combine automation with human review, advisor support, or further verification.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect legal, regulatory, technical, product, or business changes. The latest version will be posted on this page with an updated effective date. Where required by law, we may also notify you through the platform, email, or other appropriate channels.
